What exactly is AssignedVA?

AssignedVA is an embedded ops agency — not a traditional virtual assistant service. We work with scaling coaches, consultants and agencies as a strategic partner, embedding into your business to manage your operations, content, systems and AI implementation on a monthly retainer basis.

Think less "task helper" and more "the team that actually runs things."

How are you different from a regular VA?

A traditional VA waits for tasks. We don't. We learn how your business works, identify what needs to happen, and take ownership of entire areas of your operation — proactively, without hand-holding. We also bring 15+ years of real business experience across operations, systems, content and AI. That's not a VA skillset. That's a strategic partner skillset.

Who do you work with?

We work with coaches, consultants and agencies who are scaling and need their backend to keep up. Founders who are excellent at their craft but drowning in the operational side of running a growing business. Founders who have outgrown doing it all themselves but aren't ready for a full internal team yet — you're probably our people.

Where are you based?

AssignedVA is based in Canada and operates remotely, working with scaling businesses across North America. All engagements are 100% virtual.

What services do you offer?

We offer four service pillars — Executive Operations (Handled), Content & Brand Engine (Visible), Systems & Automation (Locked), and AI Implementation (Next). Each is available as a standalone retainer pillar or combined into a multi-pillar engagement. AI Implementation is also available as a standalone project package.

Do I have to take all four services?

Not at all. Most clients start with one or two pillars and expand as the relationship grows. Our Breathe tier covers one pillar, Build covers two, and Scale covers all three core pillars. AI Implementation can be added to any tier or taken as a standalone package.

What does "embedded" actually mean?

It means we work as part of your business — not as an outside contractor completing tasks. We learn your processes, your voice, your clients, and your goals. We attend relevant meetings, use your tools, and operate as if we're on your team. Because functionally, we are.

Do you work with my existing tools or do I need to change everything?

We adapt to your tools wherever possible. If you're already using specific software, CRMs or project management tools, we'll work within those. If your current tools aren't serving you well, we'll recommend alternatives — but we'll never make you overhaul everything on day one.

What does AI Implementation actually involve?

We audit your current workflows, identify where AI can save real time, and then build and implement the right tools for your business — custom GPTs, Notion AI workspaces, prompt systems, Lovable micro-apps and workflow automations. We also train your team so everything actually gets used. It's full implementation, not just tool recommendations.

Pricing & retainers

No hidden fees, no vague answers. Just straight talk about what it costs.

How much does it cost?

Our monthly retainers start from $1,000/month for the Breathe tier (one service pillar), $1,500/month for Build (two pillars), and $2,000/month for Scale (all three core pillars). AI Implementation can be added from $500/month or taken as a standalone package starting from $997. All pricing is in USD.

Why do you use retainers instead of hourly billing?

Because hourly billing creates a terrible dynamic — you start wondering if every email costs you money, and we start watching the clock instead of thinking about your business. A retainer means we're fully invested in your outcomes, not your task count. We're always thinking about your business, not just when you ping us.

The best support isn't reactive. It's always on. That's what a retainer buys you.

Is there a minimum commitment?

Yes — we ask for a 3-month minimum on all retainers. The first month is setup and assessment. By month three you'll have a fully embedded partner who knows your business inside out. Real results take time to build, and we want to make sure we deliver them.

Can I upgrade or change tiers?

Absolutely. Most clients start on Breathe or Build and move up as their business grows — which is exactly how it's designed to work. We review your tier every quarter and proactively recommend adjustments based on where your business is headed.

What's included in "starting from" pricing?

Every engagement is scoped based on your specific business needs, volume and complexity. "Starting from" means that's the floor — your actual investment may be higher depending on scope. We'll give you a clear, honest proposal after the strategy session so there are no surprises.

Process & onboarding

What happens after you say yes — and what to expect every step of the way.

How do we get started?

It starts with a strategy session — a 30-minute conversation where we learn about your business, identify your biggest needs, and figure out whether we're the right fit. No hard sell. No pressure. If we're a good match, we'll put together a proposal within 48 hours.

What does onboarding look like?

Once we're aligned on scope and you've signed on, we kick off with a deep-dive onboarding process — learning your business, your tools, your workflows, your voice and your goals. The first month is primarily assessment and setup. By month two we're fully operational. By month three it feels like we've always been there.

Onboarding with us isn't painful. We've made sure of it.

How do we communicate day to day?

We adapt to your preferred communication tools — Slack, email, project management platforms, whatever you're already using. We set clear communication protocols during onboarding so you always know how to reach us and what to expect in terms of response times.

How do you handle confidential information?

We treat your business information with the same discretion you'd expect from an internal team member. All engagements are covered by a confidentiality agreement as part of our standard contract. Your business, your clients, and your data are safe with us.

What happens in your business stays in your business.

What if it's not working out?

We'd rather have an honest conversation than a bad engagement. If something isn't working, we address it directly — adjusting scope, approach or expectations as needed. After the initial 3-month commitment, engagements are month-to-month with 30 days notice to end. We've never had a client leave wishing they'd stayed shorter.

We're confident enough in our work to not lock you in forever.
